Staff Action Coordinator (Quality Assurance Specialist)
About the Role
Osi Vision is seeking a Staff Action Coordinator to support the National Guard Bureau (NGB) and Army National Guard (ARNG) Chief Surgeon’s Office at the Herbert R. Temple Army National Guard Readiness Center in Arlington, VA. This is a fast-paced, mission-critical position requiring someone who thrives on keeping senior leaders informed, deadlines met, and correspondence flowing accurately across multiple directorates.
This role is less about software testing and more about being the connective tissue of a senior staff office: you will manage taskers from initiation to closure, coordinate with Action Officers across the building, and ensure nothing falls through the cracks.
Key Responsibilities
- Enter, track, and close taskers in the NGB Electronic Tasking System (ETS) and Enterprise Task Management Software Solution (ETMS2), routing actions from DoD, HQ USAF, HQDA, ARNG, and other senior commands.
- Determine the appropriate Office of Primary Responsibility (OPR), staffing requirements, and suspense dates based on established procedures and staffing manuals.
- Upload required documents into the Task Management Tool (TMT) and monitor all open taskers through to closure.
- Attend staff action meetings and provide verbal or written status updates on NGB-assigned tasks.
- Send proactive reminders on due and overdue tasks to Action Officers and appropriate organizational levels.
- Review, edit, and distribute ETMS2 taskers; consolidate weekly situation reports, task trackers, and key working group initiatives.
- Review outgoing correspondence for format, grammar, content, and regulatory compliance (NGB, HQDA, ARNG).
- Coordinate scheduling of meetings, conference rooms, and official functions with ARNG key leaders.
- Coordinate the pickup, distribution, and handling of mail and sensitive materials for the CSZ Directorate.
- Assist the Secretary of the General Staff by analyzing training and conference processes and providing subject matter guidance.
- Build presentations for senior leader review and approval of Fiscal Year training and events.
- Maintain office personnel rosters, telephone rosters, COOP rosters, and training rosters for CSO-S Directorate personnel.
- Perform quality control and assurance on conference packets and training requests prior to senior leader review.
Required Qualifications
- High School Diploma or equivalent.
- Active DoD Secret Clearance (must be current and in-scope at time of hire).
- Familiarity with SIPRNET and proper handling of classified information in a DoD environment.
- Experience using ETMS2 and/or TMT to manage, route, and close staff actions.
- Strong written communication skills; able to draft and edit correspondence in military/government format.
- Ability to coordinate simultaneously across multiple directorates and Action Officers with competing suspense dates.
Preferred Qualifications
- Prior military service or DoD contractor experience in a staff action or executive secretariat role.
- Familiarity with NGB, ARNG, or Joint Staff correspondence and staffing processes.
- Experience with CATMS (Correspondence and Task Management System) or similar DoD correspondence tracking systems.
- Top Secret or TS/SCI clearance.
- Associate’s degree or higher in a relevant field.
Travel:
- Travel as directed to attend meetings and conduct training.
